When you sign up for or use the Service, we may ask you to provide certain personally identifiable information, including:
- Name (first and last)
- Email address
- Phone number
- Address, city, province, and postal code
- Payment-related information (e.g. e-Transfer sender name and email, for matching payments to your account)
Usage Data
We automatically collect certain information when you visit the Service, such as your IP address, browser type and version, the pages you visit, and the time and date of your visit. This helps us maintain and improve the Service.
Cookies
We use a single, essential cookie: a session/login cookie that keeps you signed in to your client portal account. We do not use tracking, advertising, or third-party analytics cookies, and we do not track your activity across other websites.
This cookie is strictly necessary for the Service to function — without it, you would not be able to remain logged in. Because it is essential, it cannot be disabled while still using the account features of the Service. Clearing your browser's cookies will simply log you out.
Analytics
Separately from cookies, we collect certain usage and service data directly in our database as part of operating the Service — for example, route and dispatch activity, service history, and how the Service is used. This data is not collected via tracking cookies or third-party analytics tools.
This information is used internally within our admin system to operate and improve the Service, and aggregated data (such as season-to-date averages or route progress) may be displayed back to you within your client portal. We do not sell this data, and we do not share it with third parties for their own marketing or analytics purposes.
How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including your client account and dispatch/route information
- Process and match payments (e.g. Interac e-Transfers) to your account
- Communicate with you about your service, account, or storm updates — by email, phone, or SMS
- Respond to your requests and provide customer support
- Improve and troubleshoot the Service
- Comply with legal obligations
We do not use your information for third-party advertising, and we do not sell your personal information.
Sharing of Your Information
We do not sell or rent your personal information. We may share it only in the following limited situations:
- Service providers: With third parties who help us operate the Service (for example, hosting or email delivery), under an obligation to protect your data.
- Legal requirements: If required to do so by law, or in response to valid requests by public authorities.
- Business transfers: If the Company is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will notify you before this happens.
- With your consent: For any other purpose, only with your explicit consent.
Data Retention
We retain your personal data only for as long as necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Usage data used for security or troubleshooting purposes may be retained longer where required.
Security
We take the security of your data seriously. All data is stored securely and encrypted, and we use commercially reasonable safeguards to protect your personal information from unauthorized access, disclosure, alteration, or destruction. That said, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
Children's Privacy
Our Service is not directed at anyone under the age of 13, and we do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us and we will remove it.
Third-Party Links
Our Service may contain links to other websites that we do not operate. We are not responsible for the content or privacy practices of any third-party sites, and we encourage you to review their policies before providing any information.
Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date, and where the change is significant, we will notify you by email or a notice on the Service.
